How to add a committee document

Upload a policy, minutes or handover file so the next volunteer can find it without asking around.

Overview

Committee documents only help the club if the next volunteer can find them. Club OS gives files a home, a permission level and a place in the season record.

Show the upload screen a secretary or president would use first.

Before you start

  • Know whether the file is everyday committee material or a sensitive record.
  • Use a clear file name, such as AGM-minutes-2025.pdf.
  • Confirm who should be able to open it.

Steps

  1. Open Documents & Vault from the Club OS menu.
  2. Choose Library for policies, minutes and templates, or Vault for restricted records.
  3. Select Upload or Add document.
  4. Attach the file and give it a plain-English title.
  5. Choose the folder, season or role the document belongs to.
  6. Set access so only the right people can open it.
  7. Save and open the document once to confirm it is in the right place.

What happens next

The file becomes part of the club record. Incoming committee members can find it during handover instead of asking the previous secretary for a shared-drive link.

Tip: If you would not want the file forwarded in a group chat, put it in the Vault.
