CQ · Club OS module

Know who is qualified, what is due, and what still needs booking.

Courses & Qualifications is the Club OS home for compliance quals, required learning, the course catalogue, enrolments, sessions, funding and reports. My Learning and expiry reminders keep coaches, volunteers and committee working from current clearances — not a spreadsheet that was right in March.

The job

What Courses & Qualifications is for.

Give compliance leads and coaches a live view of who holds which qualification, what the club requires for each role, what is enrolled or in session, and what is about to expire.

Who uses it

Built around real club roles.

Compliance / WWCC lead

Tracks required quals and expiries across the club register.

Coach education officer

Fills sessions, enrolments and opportunities without a side booking sheet.

Team manager

Sees whether coaches and volunteers on their team meet club requirements.

Treasurer

Understands funding and course costs against a real enrolment list.

Volunteer / coach

Uses My Learning to see what they still need and when reminders are due.

Inside the module

The functionality committees actually run.

Dashboard, requirements and catalogue

Start from what the club requires — then see who meets it.

01

A compliance dashboard

See current, expiring and missing qualifications across roles and teams. The dashboard is the morning view for the compliance lead.

02

Qualifications on the person

WWCC, coaching badges, first aid and club courses sit on the People & Teams record. Other modules can trust the same status.

03

Requirements by role

Define what a coach, manager, canteen volunteer or committee role must hold. Requirements drive reminders instead of memory.

04

Course catalogue

Publish internal and external courses the club uses: name, provider, duration and whether it satisfies a requirement.

05

Opportunities and sessions

Advertise upcoming sessions, take enrolments and mark attendance so “we ran a course” leaves a club record.

Enrolments, funding, My Learning and reminders

Book people in, track cost, and automate the expiry chase.

01

Enrolments with status

Invited, enrolled, completed, failed or withdrawn — visible to the coordinator, not buried in email replies.

02

Funding and cost tracking

Record who paid, what the club subsidised and what still needs a receipt. Finance is not reconstructing course spend from inbox threads.

03

Reports the committee can use

Export compliance by team, role or season for association, insurer or AGM questions.

04

My Learning for the individual

Volunteers and coaches see their own required courses, progress and expiries without asking the compliance officer every week.

05

Expiry reminder automation

Remind people before a qualification lapses, and escalate to the coordinator when it does. Safety and policies stay connected to current clearances.

How it runs

A path volunteers can repeat.

01 · Set requirements Map roles to the qualifications the club actually needs.
02 · Load the catalogue Add courses, providers and sessions people can enrol in.
03 · Enrol and complete Track attendance and mark qualifications onto person records.
04 · Remind before expiry Automation nudges people and coordinators while there is still time to renew.
What it replaces

The hidden systems clubs already have.

  • WWCC columns in a member sheet
  • Course bookings in a personal email
  • Expiry surprises on grading night
  • No idea who completed first aid
  • Compliance knowledge that leaves with one volunteer

This work does not sit alone.
